Hallenbeck Mobile Notary Services (“we,” “us,” or “our”) is a mobile notary public service operating in Citrus County, Florida and the surrounding areas. This Privacy Policy explains what information we collect, how we use it, and the choices you have. We take the trust you place in us seriously. Notarization involves sensitive personal documents, and we treat that information accordingly.
Information We Collect
Information you give us directly
When you contact us by phone, text, email, or through a form on this website, we collect the information you choose to provide. This typically includes your name, phone number, email address, the type of notarial service you need, the location where you would like to meet, and the date and time you prefer. You are not required to provide any information beyond what is necessary for us to return your call and schedule an appointment.
Information collected during a notarization
Florida law requires a notary public to verify the identity of every signer. At your appointment we will examine a valid, government-issued photo identification. We review this identification in your presence to confirm your identity. We do not photograph, scan, copy, or retain your identification document unless a specific transaction, lender, title company, or law expressly requires it, and in those cases the document is handed to that party rather than kept by us.
We maintain a notarial record of each act we perform. Consistent with standard notary practice, that record contains limited details such as the date and time of the notarization, the type of notarial act, the type of identification presented, and the signer’s name. It does not contain the contents of your documents. This record exists to protect you and to allow a notarization to be verified later if it is ever questioned.
We do not read your documents beyond what is necessary to perform the notarial act, and we do not keep copies of the documents we notarize. For loan signings and real estate closings, the completed document package is returned to the title company, lender, or signing service that engaged us, as directed by that party.
Information collected automatically on this website
Like most websites, this site and the services that support it may automatically record technical information when you visit, including your IP address, browser type, device type, the pages you view, and the site that referred you. This information is used to keep the website secure and working properly and to understand in aggregate how visitors find and use the site. It is not used to identify you personally.
How We Use Your Information
We use the information described above to respond to your inquiry, schedule and confirm appointments, travel to the agreed meeting location, perform the notarial act you have requested, invoice and collect payment, keep the records that notary practice and Florida law call for, and comply with legal obligations. If you have asked us to, we may also follow up about a future appointment or a document that needs a second signing.
We Do Not Sell Your Information
We do not sell, rent, or trade your personal information to anyone, and we do not share it with advertisers or data brokers. We will never share the contents of your documents with a third party.
When We Share Information
We share personal information only in these limited circumstances. We share it with the title company, lender, escrow officer, attorney, or signing service that arranged your appointment, when your appointment was arranged through one of them. We share it with service providers who help us operate (our website host, our email provider, and the software that delivers form submissions to us), and those providers may only use the information to perform that service for us. We share it when we are required to by law, by a court order or subpoena, or by a lawful request from a government authority, including a request from the Florida Department of State relating to a notarial act. And we may share it where necessary to establish, exercise, or defend a legal claim.
Phone Calls, Text Messages, and Email
When you call, text, or email us, or submit a form asking us to contact you, you are consenting to be contacted at the phone number or email address you provided for the purpose of arranging your notarization. Message and data rates may apply to text messages. You can ask us to stop contacting you at any time by replying STOP to a text, by telling us on a call, or by emailing us at the address below. We do not send marketing text messages.
Cookies
This website may use cookies and similar technologies to keep the site functioning, remember your preferences, and measure site traffic in aggregate. Most browsers let you refuse cookies or alert you when a cookie is being set. Refusing cookies may affect how some parts of the site work, but it will not prevent you from contacting us.
How Long We Keep Information
We keep appointment and contact information for as long as needed to provide the service and to meet our recordkeeping, tax, and legal obligations, and then we dispose of it securely. Notarial records are retained for the period appropriate to notary practice and applicable Florida law, which may be longer than other records, because those records may be needed to verify a notarial act years after it was performed.
How We Protect Information
We use reasonable physical, administrative, and technical safeguards to protect the information in our care, including secure handling of documents in transit, limited access to records, and secure storage of our notarial journal and seal. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take the protection of your information seriously and act promptly if a problem arises.
Your Choices and Rights
You may ask us what personal information we hold about you, ask us to correct information that is inaccurate, ask us to delete information we are not legally required to keep, or ask us to stop contacting you. Contact us using the information below and we will respond within a reasonable time. Please note that we cannot delete notarial records that we are required to maintain, and we cannot delete or alter a completed notarization.
Children’s Privacy
This website and our services are directed to adults. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided us with personal information, please contact us and we will delete it.

This website may link to other sites, such as our Google Business Profile or our Facebook page. We are not responsible for the privacy practices or the content of those sites. We encourage you to review the privacy policy of any site you visit.
